How to use Bid Bot to write a response from scratch

1. Ask AI Helper to Create an Answer Plan 

• Provide the original question/prompt. 

• Instruct the AI: 
  “Write a step-by-step answer plan based on the question and the required spec.” 

• This gives you an outline so you know what must be covered. 

2. Split the Question Into Clear Requirements 

• In the answer box, create headings or bullet lists such as: 

• Overarching question if there is one before sub Q requirements 

• Requirement 1 

• Requirement 2 

• Requirement 3 

• Requirement 4  

• Requirement 5 

• This makes it easier for the AI to target each part when generating content snippets. 

3. Insert Automated Text (Round 1) 

• Ask the AI helper to draft content for each requirement section in the form of a bullet point answer plan 

• Paste this into your bid response. 

4. Review and add snippets in. 

• Look at adding in the content automated snippets and improvements to each area from the question / customer requirement 

• Add in room for evidence, value add. 

5. review again and Add More Automated Text (Round 2) 

• For each section, add in more snippets to get the overall score up.  

• Make sure to include a commitment at the top, relevant people and structure, evidence and value, standards and accreditations or the customers own frameworks/guidelines.  

6. AI helper to change the plan into draft responses 

• For each section – ask the AI helper to tidy it up and make the flow into a structured methodology. 

• You can ask it further information such as add in the role responsible then bullet point my approach.  

• Make sure the word count is not to large as it saves time cutting word count.  

7. Repeat for Each Individual Section 

• Continue the cycle: 
  tidy up and create draft into a methodology. 

• Focus on one question/customer requirement at a time to keep control and accuracy high methodically working across them.  

8. Final AI Helper Tidy-Up 

• Once all sections are completed, do another review and check for the 5 main improvements, and aim to get it to 90% or above. 

• Things the AI helper can help with: 
   

• “Please tell me 5 quick improvements for this response based on the question and tell me where to insert the text”. 

• “Please cut down this text by 25% word count”.  

• “Please advise me where to cut the word count down”.  

• “Please take this content and advise me on some value adds I can provide”. 

• Apply the edits and finalise.
