Managing Client Feedback

Overview

The Client Feedback feature allows you to upload, analyse, and manage feedback documents from clients about your bids. This guide explains how to use this feature to understand client feedback and improve your bids.

What You’ll Need

  • A Bid Bot account
  • Access to a bid
  • Client feedback document (PDF, Word, or text file)
  • Access to the Bid Viewer page

Accessing Client Feedback

  1. Go to the Bid Library from the sidebar menu
  2. Open the bid you want to add feedback to
  3. Scroll to the Client Feedback section
  4. You’ll see options to upload or view feedback

Uploading Client Feedback

Step 1: Upload Feedback Document

  1. In the Client Feedback section, click Upload
  2. Select your feedback document from your computer
  3. Supported file types:
  • PDF files (.pdf)
  • Word documents (.doc, .docx)
  • Text files (.txt)
  1. Maximum file size: 50MB per file
  2. Wait for the file to upload
  3. You’ll see a success message when the upload completes

Step 2: Review Uploaded Feedback

After uploading:

  • The file name is displayed
  • The upload date is shown
  • Status badge shows “Uploaded” or “Pending Upload”
  • You can download or delete the feedback

Analysing Client Feedback

Step 1: Start Analysis

  1. Make sure you have uploaded a feedback document
  2. Click the Analyse button
  3. Wait while Bid Bot analyses the feedback

Step 2: Review Analysis Results

After analysis, you’ll see:

Summary

  • Overview: Summary of the feedback
  • Sentiment: Whether feedback is positive, negative, or neutral
  • Score: Numerical score if available

Key Points

  • Important points extracted from the feedback
  • Highlights of what the client mentioned
  • Focus areas they discussed

Recommendations

  • Suggestions based on the feedback
  • Areas for improvement
  • Action items to consider

Action Items

  • Specific actions you should take
  • Priority levels (high, medium, low)
  • Impact description for each action

Understanding Analysis Results

Sentiment Analysis

  • Positive: Generally favourable feedback
  • Negative: Concerns or criticisms
  • Neutral: Mixed or balanced feedback

Score Interpretation

If a score is provided:

  • Higher Scores: More favourable feedback
  • Lower Scores: Areas needing improvement
  • Score Range: Shows the maximum possible score if available

Using Recommendations

  1. Review Recommendations: Read through all recommendations
  2. Prioritise Actions: Focus on high-priority action items first
  3. Address Concerns: Use feedback to improve your bid
  4. Track Changes: Note what you changed based on feedback

Analysis History

If you analyse feedback multiple times:

  1. Analysis History shows all past analyses
  2. Latest Analysis is highlighted
  3. You can compare different analyses over time
  4. See how feedback sentiment and scores change

Managing Client Feedback

Downloading Feedback

  1. Click Download to save the original feedback file
  2. File downloads to your computer
  3. Useful for offline review or sharing

Deleting Feedback

  1. Click Delete to remove feedback
  2. Confirm deletion when prompted
  3. Both the file and its analysis are removed
  4. Warning: This cannot be undone

Re-Analysing Feedback

  1. Click Analyse again to create a new analysis
  2. Useful if you want an updated analysis
  3. Previous analyses are preserved in history
  4. New analysis becomes the latest

Best Practices

Uploading Feedback

  1. Upload Promptly: Add feedback as soon as you receive it
  2. Complete Documents: Upload full feedback documents, not excerpts
  3. Clear Files: Ensure documents are readable and clear
  4. Organise: Keep track of which bids have feedback

Using Analysis

  1. Review Thoroughly: Read all analysis sections carefully
  2. Act on Recommendations: Take action based on recommendations
  3. Address Action Items: Prioritise and complete action items
  4. Track Progress: Monitor how you address feedback over time

Continuous Improvement

  1. Regular Review: Check feedback analysis regularly
  2. Compare Analyses: Compare different analyses to see trends
  3. Apply Learnings: Use feedback insights to improve future bids
  4. Document Changes: Note what changes you made based on feedback

Making the Most of Feedback

  1. Upload All Feedback: Don’t just upload positive feedback—negative feedback is valuable too
  2. Analyse Regularly: Run analysis when you receive new feedback
  3. Review All Sections: Don’t just look at the summary—review key points, recommendations, and action items
  4. Take Action: Use the analysis to actually improve your bids

  1. Sentiment Context: Consider sentiment alongside the actual feedback
  2. Score Context: Understand what the score means in context

Troubleshooting

Upload Fails

  • Check that file type is supported (PDF, Word, or text)
  • Make sure file size isn’t too large (50MB limit)
  • Verify your internet connection
  • Try uploading again after a moment

Analysis Not Working

  • Make sure feedback has been uploaded successfully
  • Wait for analysis to complete (can take a minute)
  • Try analysing again if the first attempt fails
  • Check that the feedback document contains text

Can’t See Analysis

  • Make sure you’ve clicked “Analyse” after uploading
  • Wait for the analysis to complete
  • Refresh the page if the analysis doesn’t appear
  • Check that the analysis hasn’t failed (look for error messages)

Download Not Working

  • Check that feedback has been uploaded successfully
  • Verify the file exists and is accessible
  • Try downloading again after a moment
  • Contact support if the download consistently fails

Delete Not Working

  • Make sure you have permission to delete feedback
  • Try deleting again after a moment
  • Refresh the page if the delete doesn’t work
  • Contact support if deletion consistently fails
