Identifying trends in bid responses instantly

A technology company invited us to support the review of a live tender submission shortly before the deadline. We were brought in as a consultant five days before submission to review and strengthen the bid responses.

To support the process, the organisation approved the use of the Bid Bot platform, allowing us to run the review and improvement process directly through the system.

The Review Process

The bid contained 10 quality questions and responses, supported by the customer specification.

Step 1 – Bid upload (10 minutes)
The questions, draft responses and specification were uploaded into the platform.

Step 2 – Automated bid review (2 minutes)
The Bid Bot review tool analysed the entire submission.

Step 3 – Review reporting
An automated report generated:

  • Overall bid score

  • Individual question scores

  • RAG rating system across responses

Each question included a detailed analysis covering:

  • Alignment with the question and specification

  • Buyer requirements

  • Role persona expectations

  • Default Bid Bot marking scheme

Step 4 – Analysing the results

The responses were generally of good quality, with only a few questions missing elements of the customer requirements. However, we identified a consistent gap in the use of delivery metrics and measurable outcomes. This resulted in Bid Bot benchmark scores averaging between 70 and 75 percent.

Providing evidence and measurable delivery metrics is often critical in tender responses because buyers typically score bids against structured criteria such as quality, delivery approach and evidence of capability.

Step 5 – Word document feedback

We provided comments directly in the Word document outlining where improvements could be made. This included suggested content snippets to strengthen responses, ensure the question requirements were fully addressed and highlight where delivery metrics should be included.
