Project Description

Initial Engagement and first tender completion

How a Social Housing Provider increase the speed of production whilst improving quality

High level timeline:

October 2025 – Platform introduced
November 2025 – First tender completed using Bid Bot

Why Bid Bot?

The housing provider introduced Bid Bot to improve the structure and consistency of their tender responses while maintaining the level of detail required when bidding for housing sector opportunities. Social housing organisations regularly procure services such as maintenance, facilities management and repairs through competitive tenders, requiring suppliers to clearly demonstrate service delivery capability and resident outcomes.

By using Bid Bot’s Bid Review and Content Automation Snippets, responses could be generated and reviewed more efficiently, helping ensure submissions were structured, compliant and aligned with buyer requirements.

Key outcomes included:

    • Faster preparation of tender responses

    • Improved compliance with tender questions

    • Reduced internal review time

    • Improved response quality and clarity

Platform introduction

In October 2025, the team held an introductory call to walk through the Bid Bot platform and how it could support their tendering activity. The organisation decided to adopt a fully self-service approach, signing up to the Basic package (£150 per month), allowing up to five bids per year. During the session, the team began preparing their first housing-sector tender within the platform, using Bid Review and Content Automation Snippets to structure their responses. We also reviewed one of their past bids through the platform as a benchmark which was done by a past external consultant. It scored in the 60% region, mirroring the quality they perceived it at.

Bid preparation supported through the platform

In November 2025, the organisation completed its first bid using the platform. As part of the onboarding support, we provided one hour of complimentary consultancy to review the responses. We were impressed by the quality of the submission produced on their first attempt. The responses were already achieving review scores of 85%+, demonstrating the key elements buyers typically look for in high-scoring tenders: clear methodology, strong supporting evidence, people-focused delivery, and added value.
